Here are some of our frequently asked questions about our transcription services
How do I upload my files?
Once you have registered as a new client, you can then send files via our upload page or we can set up a shared Dropbox folder for you to use. When sending us your files, please note that any additional information you can provide us with such as your required deadline, number or speakers in your audio or video file, spellings of names/company names, technical terms or transcript specifications (verbatim, discourse analysis, etc) are always appreciated by the typist. We also encourage you to provide us with a mobile telephone contact number (as well as a landline) so that we can contact you easily with any urgent messages.
How do you keep my files safe and confidential?
All files are uploaded and downloaded using 256-Bit Secure Sockets Layer (SSL) processing. This means all of your files are encrypted and fully secure. We have several layers of data security that are implemented. Web servers are deployed using a dual-homed configuration which provides a specific firewall protection to the private network. User files are stored on private network servers and are physically isolated from the public internet for extra security. All of our transcriptionists and secretaries are required to sign confidentiality agreements and will always handle your files with the upmost care and discretion.
Can I have my own login and password?
We are also happy to work set up shared Dropbox folders for sending and receiving transcripts via PC, Mac, tablet, iPad, smartphone or iPhone as we find that this is practical, widely available, free and secure. If you prefer not to use Dropbox, we can provide regular clients with their own login via our website, along with a password for delivery and collection of their completed transcripts. For non-regular clients, completed work can be encrypted and sent back via email.
Can I upload files from my iPhone or iPad?
We can accept direct uploads from your iPhone, iPod, iPad, smartphone or tablet and provide this service for regular clients who have their own login, using the Dictamus dictation app available on iTunes and Google Play. This service can also be provided for new clients, but will require an additional fee. We are also able to receive small files via email.
